How we rescued a silently broken contact form on a UK catering site losing bookings

A UK catering site looked healthy. The contact form said thanks. No enquiries arrived in the inbox for 11 days. We diagnosed a broken SMTP handoff, rerouted email through a proper transactional service, and recovered the lost messages from the database. Full recorded evidence is available on request during a discovery call.

The challenge

The form plugin was set to use PHP mail, the host had quietly disabled it months earlier. Submissions saved to the database but never sent. The owner only noticed when a regular client called asking why nobody had replied.

What we did

  1. 1

Confirmed the silent failure with a test submission and a tail of the mail log.

  2. 2

Connected a transactional email service with proper SPF and DKIM records.

  3. 3

Exported the 11 days of unread submissions from the database and emailed them to the owner.

  4. 4

Added a weekly synthetic test that submits the form and alerts if no email arrives.

The result

The form was working again within the hour. Every lost enquiry was recovered and replied to within the same day. The monitoring rule has caught two more SMTP issues since, both fixed before any enquiry was lost.

I thought enquiries had just stopped. They had not. They were trapped in the database. Client identity withheld under NDA. Full Loom recording and dated evidence are available on request during a 15 minute discovery call.

Common questions

How do contact forms fail silently?

Most WordPress form plugins default to PHP mail. When the host disables PHP mail or the message gets filtered as spam, the form still says thanks. The submission never reaches the inbox.

How do you prevent it from happening again?

We route forms through a transactional email service with SPF, DKIM, and DMARC, then add a weekly synthetic test that proves a real email landed in the real inbox.
