What does a website administrator do?

By Ali Yasin Jatoi

The short answer

A website administrator keeps a site usable, secure and current. Typical duties include managing access, publishing changes, coordinating updates, checking backups and investigating faults. The role can be an employee position or an outsourced responsibility. The right choice depends on workload, internal systems and how much direct control your organisation needs.

The day to day responsibilities

An administrator manages user permissions, content publishing, certificates, updates and fault reports. They coordinate with hosting, developers and editors. On WordPress, they also track plugin licences, test changes away from the live site and check that a backup can actually be restored.

Skills and boundaries

The role needs careful access handling, troubleshooting and clear records. It does not automatically include custom development, advertising strategy or legal compliance advice. A job description should say which systems are covered and who approves changes that affect payments or personal data.

Employment cost versus outsourcing

Check local salary data for your location and seniority before setting a budget. Allow for employer costs, recruitment, equipment, training and absence cover. An outsourced plan has a narrower service scope. Compare responsibilities and coverage, not a salary against a subscription as though they buy the same thing.

When to employ an administrator

Consider an employee when website work fills a continuing role, requires close coordination with internal teams or includes systems a supplier cannot access. Plan holiday cover and specialist escalation. One person cannot be the expert in every infrastructure, security and development task.

When a management service makes sense

A management service can suit a WordPress site that needs regular maintenance but not a full internal role. Start with the website maintenance services hub to review the responsibilities. Assign an internal decision maker and agree who approves releases, content changes and spending.

Set up a useful handover

Record hosting ownership, domain access, plugin licences, publishing rules and restore procedures. Agree an escalation contact and keep a change log. Whether you hire or outsource, those records matter more than the job title.

Frequently asked questions

Is a website administrator the same as a developer?

Not necessarily. Administration focuses on ongoing operation. Development builds or changes functionality, though some roles include both.

How much does an administrator cost?

Check local salary data and total employment costs for your location and required experience. Outsourcing should be compared against a clearly defined service scope.

Can a management service replace an employee?

Sometimes, when the work is mostly routine website care. It is not a substitute for a wider internal systems or editorial role.
